In Outlook, sort email by selecting a column such as From, Date, or Subject in the message list. Sorting is best for a quick cleanup or pattern check; it does not replace folders, rules, or a follow-up system.
Table of Contents
How to approach it
- Open the folder you want to inspect and choose the relevant column. Date is useful for recent work, From reveals repeated senders, and Subject groups conversations with similar labels.
- Use the direction toggle to switch between newest and oldest, or ascending and descending order. Look for messages that can be archived, grouped, or answered together.
- Return to your normal date view when finished. If you repeatedly need the same grouping, create a view, category, or rule instead of manually sorting each time.
Useful wording examples
- Sort by From to find all messages from a vendor before a renewal call.
- Sort by Subject to group replies around one project.
Copy-and-adapt template
Subject: [Topic] sorted view
Hi [Name],
I sorted the folder by [sender/date/subject] to group the messages about [topic]. The view is temporary; I’ll return it to the normal date order after the cleanup. The messages that still need action are [brief list].
Best,
[Your name]
What to avoid
Do not assume sorting changes delivery or priority. It changes the view only.
